Dental Practice IT Support and HIPAA Readiness on the Treasure Coast
General, pediatric, orthodontic, and specialty dental offices in Stuart, Port St. Lucie, Fort Pierce, Vero Beach, Hobe Sound, and northern Palm Beach County.
IT that keeps the schedule moving
A dental office runs on a tight day. The front desk checks patients in, the operatories pull up charts and X-rays, insurance claims go out, and payments come in. When the imaging sensor will not connect, the practice software slows to a crawl, or a phishing email lands on the front desk computer, the whole day backs up.
Titan IT Management is a locally owned, family- and veteran-owned IT company based in Stuart. We manage the computers, network, accounts, backups, and security behind your practice so your team can focus on patients. When a problem belongs to your software or imaging vendor, we handle the call with them for you.
We provide HIPAA readiness support, not certification. The U.S. Department of Health and Human Services does not certify IT companies or practices as HIPAA compliant. Your practice keeps ownership of its HIPAA program. Our job is to put the technical safeguards in place, document them, and keep them current so you can show your work.
What we address
One point of contact for your software vendors
Most dental offices rely on several outside systems: practice management, digital imaging and sensors, intraoral cameras and scanners, e-claims and clearinghouses, patient communication, and payment processing. Common systems include Dentrix, Eaglesoft, Open Dental, and Dexis, among others.
We act as liaison to your practice software and imaging vendors. When support, an install, an update, or an issue needs the vendor, we coordinate with them on your behalf. That means we open the ticket, explain the environment, give their technicians the access they need while it is needed, and follow up until it is resolved. You do not have to sit on hold or figure out whether the problem is the software, the computer, or the network.
To be clear about what that means: we are not a reseller, partner, or authorized representative of these vendors, and we do not have a special support line into them. We go through the same support channels your practice would, and we bring the technical detail that gets the issue resolved faster. The software itself, its licensing, and its features stay between your practice and the vendor.
How Titan helps
- Workstations and operatories. Managed, patched, and monitored computers at the front desk, in the operatories, and in the doctor's office, with updates timed around patient hours.
- Access and logins. Role-based access to patient information, multi-factor authentication on email and remote access, shared workstations locked down so one login cannot expose the whole practice, and prompt removal of access when someone leaves.
- Email security. Advanced email filtering and phishing protection, plus email encryption on Helios and Cronus plans for sending patient information outside the practice.
- Backup and tested recovery. Image-based backup of your server and key workstations, separate backup of Microsoft 365 or Google Workspace, and restores we actually test and record.
- Security awareness training. Phishing simulations and short training so front desk and clinical staff recognize suspicious messages, fake invoices, and payment change requests.
- Business Associate Agreement. When we handle systems that store or access patient information, we sign a Business Associate Agreement with your practice.
- Documentation for your HIPAA program. A written record of the safeguards in place, the backup and restore testing, and the access changes we make, so your risk analysis and policies reflect what the practice actually does.
- Vulnerability and penetration testing. Available as quoted work for practices that want an outside view of how their network holds up.
HIPAA in plain terms
The HIPAA Security Rule asks covered entities, including most dental practices, to protect electronic patient information with administrative, physical, and technical safeguards and to perform a risk analysis. A managed IT provider can do a large share of the technical work: access controls, audit logs, encryption, backup, patching, and monitoring.
What we do not do is take over your HIPAA program. Your practice decides its policies, names its privacy and security officers, and owns the risk analysis. We help you complete the technical parts of that analysis and give you the records to support it. Your compliance advisor or counsel should confirm how the rules apply to your practice.
If something does go wrong, timelines matter. HIPAA has its own breach notification rules, and Florida law adds a 30-day notice requirement for many breaches of personal information. Our article on Florida data breach law for small businesses explains the Florida side.
Imaging, sensors, and the front desk
Imaging and sensors are where dental IT gets specific. Drivers, bridge software, and workstation settings have to line up with your imaging and practice software, and a routine Windows update can break that chain. We track those dependencies, test updates before they reach the operatories when we can, and coordinate with the imaging vendor when a sensor or bridge needs their help.
At the front desk, we keep check-in, scanning, printing, card processing, and phones working together, and we make sure the computer that holds the day's schedule is backed up and protected like every other system that touches patient information.
Hours, onsite visits, and local support
Our Stuart office at 900 SE Ocean Blvd, Suite 130D, is open Monday to Friday, 8 AM to 5 PM Eastern, and our help desk is staffed during those hours on every plan. Most issues are solved remotely. When a visit is the right call, our technicians come to you anywhere across the Treasure Coast and northern Palm Beach County. On Atlas, Hyperion, and Helios, onsite visits are scheduled as needed and billed as written in your agreement. Cronus adds priority onsite response and 24/7 help desk coverage under the plan agreement.
Most dental practices fit Helios or Cronus, because those plans include email encryption, phishing training, compliance readiness support and reporting, and quarterly reviews. Hyperion and above include vendor management, which is where our software vendor liaison work lives. See every plan and starting price on our managed service plans page.
Let's make your practice's technology one less thing to worry about.
Start with an IT assessment. We will look at your computers, network, accounts, backups, and security, recommend the plan that fits, and put the price in writing.

Titan provides technical safeguards and readiness support, not legal advice or certification. Your practice and its compliance counsel should confirm how HIPAA and Florida law apply to you.
Healthcare Practice: Ransomware Near-Miss and HIPAA Remediation
A multi-provider medical practice discovered suspicious activity on a clinical workstation. Titan contained the incident, recovered operations from tested backups, and rebuilt the environment to meet HIPAA security expectations.

Dental practice IT questions, answered
Do you support Dentrix, Eaglesoft, Open Dental, or Dexis?+
We work with practices that use these and other common dental systems. We manage the computers, network, accounts, backups, and security around them, and we act as liaison to the vendor when support, installs, updates, or issues need their help. We are not a reseller or partner of these vendors and do not have a direct support line; we work through their standard support channels on your behalf.
Will you sign a Business Associate Agreement?+
Yes. When our work involves systems that store or access patient information, we sign a BAA with your practice.
Can you make our practice HIPAA compliant?+
No IT company can certify that, and HHS does not certify IT companies. We put the technical safeguards in place, document them, and keep them current. Your practice keeps ownership of its HIPAA program and risk analysis.
How do you handle updates without disrupting patients?+
We schedule updates and maintenance outside patient hours where possible and check imaging and practice software compatibility before major changes.
Do you test backups?+
Yes. We run test restores and keep a record of them, so you know recovery works before you need it.
Can you help with our cyber insurance questionnaire?+
Yes. We go through the questions with you, confirm which controls are actually in place, close the gaps that matter, and keep documentation ready for renewal.
