Veterinary Practice IT Support on the Treasure Coast

General practice, emergency, specialty, equine, and mobile veterinary practices in Stuart, Port St. Lucie, Fort Pierce, Vero Beach, Okeechobee, Hobe Sound, and northern Palm Beach County.

IT that keeps appointments, surgery, and checkout on time

A veterinary hospital runs a full day on a few key systems. The front desk checks in patients and answers phones, the exam rooms pull up records, the lab sends results into the chart, digital X-ray and ultrasound images need to open fast, and checkout takes payment and books the next visit. When the practice software slows to a crawl, the imaging station will not talk to the server, or a phishing email lands at the front desk, the waiting room fills up.

Titan IT Management is a locally owned, family- and veteran-owned IT company based in Stuart. We manage the computers, network, accounts, backups, and security behind your practice so your team can focus on patients and their owners. When a problem belongs to your practice software, lab, or imaging vendor, we handle the call with them for you.

What we address

Client and patient record privacy

One point of contact for your software vendors

Most veterinary practices rely on several outside systems: practice management, in-house lab analyzers and reference lab connections, digital radiography and ultrasound, client communication and reminders, online pharmacy, and payment processing. Common systems include Cornerstone, ezyVet, and IDEXX Neo from IDEXX, AVImark and Impromed from Covetrus, and a range of digital imaging systems, among others.

We act as liaison to your practice software, lab, and imaging vendors. When support, an install, an update, or an issue needs the vendor, we coordinate with them on your behalf. That means we open the ticket, explain the environment, give their technicians the access they need while it is needed, and follow up until it is resolved. You do not have to sit on hold or figure out whether the problem is the software, the computer, the analyzer connection, or the network.

To be clear about what that means: we are not a reseller, partner, or authorized representative of these vendors, and we do not have a special support line into them. We go through the same support channels your practice would, and we bring the technical detail that gets the issue resolved faster. The software itself, its licensing, and its features stay between your practice and the vendor.

How Titan helps

  • Workstations and exam rooms. Managed, patched, and monitored computers at the front desk, in exam rooms, treatment, and the doctor's office, with updates timed around appointment hours.
  • Servers and practice software. Many established practices still run server-based practice software. We keep that server healthy, monitored, and backed up, and we set up secure remote access for doctors who need records from home.
  • Access and logins. Individual accounts instead of shared passwords, multi-factor authentication on email and remote access, and prompt removal of access when someone leaves.
  • Email security. Advanced email filtering and phishing protection, plus email encryption on Helios and Cronus plans for sending records and client information outside the practice.
  • Backup and tested recovery. Image-based backup of your server and key workstations, separate backup of Microsoft 365 or Google Workspace, and restores we actually test and record.
  • Security awareness training. Phishing simulations and short training so front desk and clinical staff recognize suspicious messages, fake invoices, and payment change requests.
  • Confidentiality in writing. We keep your client and patient information confidential and put that commitment in our service agreement.
  • Vulnerability and penetration testing. Available as quoted work for practices that want an outside view of how their network holds up.

Privacy for veterinary practices, in plain terms

Here is a point worth getting right: HIPAA generally does not apply to veterinary practices. HIPAA protects human health information held by covered entities such as medical and dental providers and health plans. Animal medical records are not protected health information under HIPAA, and a typical veterinary practice is not a HIPAA covered entity. Because of that, we do not sell veterinary practices a HIPAA program they do not need, and a Business Associate Agreement is not usually part of our veterinary work.

That does not mean veterinary records are unregulated. Florida law treats veterinary medical records and the information a client shares during care as confidential, with limited exceptions such as other treating veterinarians, the client's written authorization, or a subpoena. The AVMA's ethics principles say the same. Your client files also hold names, addresses, phone numbers, and payment details, which fall under Florida's data breach law. If something does go wrong, Florida law adds a 30-day notice requirement for many breaches of personal information. Our article on Florida data breach law for small businesses explains what that means.

So we apply the same strong habits we use for dental and medical offices: role-based access, MFA, encryption, logging, patching, and tested backups. We provide readiness support and documentation, not legal advice or certification. Your practice and its advisors should confirm how Florida's veterinary practice rules and privacy laws apply to you.

Imaging, lab connections, and the front desk

Imaging and lab integrations are where veterinary IT gets specific. Digital radiography and ultrasound workstations, image viewers, and the links between your analyzers, reference lab, and practice software all depend on drivers, network settings, and versions that have to line up. A routine Windows update or a new firewall rule can break that chain. We track those dependencies, check compatibility before major updates, and coordinate with the imaging or lab vendor when a connection needs their help.

At the front desk, we keep check-in, phones, printing, label printers, and card processing working together. We also help you keep payment devices separate from the rest of the network as part of PCI readiness. We do not certify PCI compliance; your payment processor tells you what you need to validate.

Hours, onsite visits, and local support

Our Stuart office at 900 SE Ocean Blvd, Suite 130D, is open Monday to Friday, 8 AM to 5 PM Eastern, and our help desk is staffed during those hours on every plan. Most issues are solved remotely. When a visit is the right call, our technicians come to you anywhere across the Treasure Coast and northern Palm Beach County. On Atlas, Hyperion, and Helios, onsite visits are scheduled as needed and billed as written in your agreement. Cronus adds priority onsite response and 24/7 help desk coverage under the plan agreement, which matters for practices with extended, weekend, or emergency hours.

Most veterinary practices fit Helios or Cronus, because those plans include email encryption, phishing training, compliance readiness support and reporting, and quarterly reviews. Hyperion and above include vendor management, which is where our software vendor liaison work lives. See every plan and starting price on our managed service plans page.

Let's make your practice's technology one less thing to worry about.

Start with an IT assessment. We will look at your computers, network, accounts, backups, and security, recommend the plan that fits, and put the price in writing.

FAQ

Veterinary practice IT questions, answered

Do you support Cornerstone, ezyVet, AVImark, or Impromed?+

We work with practices that use these and other common veterinary systems. We manage the computers, network, accounts, backups, and security around them, and we act as liaison to the vendor when support, installs, updates, or issues need their help. We are not a reseller or partner of these vendors and do not have a direct support line; we work through their standard support channels on your behalf.

Does HIPAA apply to our veterinary practice?+

Generally, no. HIPAA covers human health information, and a typical veterinary practice is not a HIPAA covered entity. Florida law still requires you to keep veterinary records confidential, and Florida's breach law covers client personal information. Your advisors should confirm how the rules apply to your practice.

Will you sign a Business Associate Agreement?+

A BAA is a HIPAA document, so it does not usually apply to veterinary work. We put our confidentiality commitment in our service agreement instead.

How do you handle updates without disrupting appointments?+

We schedule updates and maintenance outside appointment hours where possible and check imaging, lab, and practice software compatibility before major changes.

Do you test backups?+

Yes. We run test restores and keep a record of them, so you know recovery works before you need it.

Can you help with our cyber insurance questionnaire?+

Yes. We go through the questions with you, confirm which controls are actually in place, close the gaps that matter, and keep documentation ready for renewal.
