IT Support for HOAs, Condo Associations, and Property Managers on the Treasure Coast

Community association management companies, self-managed HOAs and condominium associations, and residential and commercial property managers in Stuart, Palm City, Port St. Lucie, Fort Pierce, Vero Beach, Hobe Sound, Jupiter, and northern Palm Beach County.

Communities run on email, documents, and trust

Associations and property managers handle owner rosters, assessments, vendor contracts, bank accounts, board decisions, and years of records. Much of it moves by email between managers, board members who use personal accounts, vendors, and residents. That makes associations a favorite target for one scam in particular: a message that looks like it came from a trusted vendor or board member asking to change where a payment goes.

Titan IT Management is a locally owned, family- and veteran-owned IT company based in Stuart. We manage the computers, network, accounts, backups, and security behind your management office or association so your team can focus on owners, residents, and the board. When a problem belongs to your management software or banking portal, we handle the call with the vendor for you.

What we address

Vendor payment fraud
Board email security
Association records and portals
Backup and recovery
Access and offboarding
Cyber insurance questionnaires

One point of contact for your software vendors

Associations and property managers rely on several outside systems: association or property management software, owner and resident portals, accounting, online payments and bank lockbox services, document storage, violation and architectural request tracking, and community websites. Common systems include AppFolio, Buildium, Vantaca, CINC Systems, FRONTSTEPS, and QuickBooks, among others.

We act as liaison to your management software and other technology vendors. When support, an install, an update, or an issue needs the vendor, we coordinate with them on your behalf. That means we open the ticket, explain the environment, give their technicians the access they need while it is needed, and follow up until it is resolved. You do not have to sit on hold or figure out whether the problem is the software, the computer, the browser, or the network.

To be clear about what that means: we are not a reseller, partner, or authorized representative of these vendors, and we do not have a special support line into them. We go through the same support channels your office or association would, and we bring the technical detail that gets the issue resolved faster. The software itself, its licensing, and its features stay between you and the vendor.

How Titan helps

  • Association email that belongs to the association. Board and manager email on accounts the association or management company controls, not personal inboxes, so records stay with the community when board members change.
  • Multi-factor authentication. On email, management software where available, banking portals, and remote access, which is one of the first controls insurers look for.
  • Email security. Advanced filtering and phishing protection, alerts on suspicious mailbox rules, and email encryption on Helios and Cronus plans for sending owner information.
  • Security awareness training. Phishing simulations and short training so managers, accounting staff, and willing board members recognize fake invoices and payment change requests.
  • Shared drives with clear permissions. Organized folders for association records, with access sized to each role and a record of who can see what.
  • Backup and tested recovery. Backup of office computers and servers, separate backup of Microsoft 365 or Google Workspace, and restores we actually test and record.
  • Clean handoffs. Prompt removal of access when a manager leaves or a board seat turns over, and documented handoff of accounts and passwords.
  • Cameras and access systems. We install and support security cameras, and we coordinate with your gate, access control, or amenity system provider when their equipment shares your network.

Stopping vendor payment fraud

Payment change fraud is simple and costly. A criminal gets into a vendor's mailbox, or registers a lookalike address, then sends a convincing request to update the bank account for a landscaping, pool, roofing, or insurance payment. Large association payments make it worth the effort.

Technology helps: MFA, email filtering, sign-in monitoring, and alerts when a mailbox suddenly forwards messages somewhere new. The most important control is still a written habit your office and board agree on: confirm any change to payment or bank details by phone at a number you already have on file, and require a second person to approve the change. We help you put that process in writing and train the people who follow it. Learn more in

Records, portals, and Florida law, in plain terms

Florida law sets record keeping duties for community associations. Homeowners' associations under Chapter 720 and condominium associations under Chapter 718 must keep official records, and many associations must now post certain records on a website or app with a protected owner login. Those posting thresholds depend on the size and type of association. Florida law also limits what can be shared with owners, such as certain personal and financial information.

Here is where we fit. We help you keep association records organized, backed up, and accessible to the right people, set up secure portal and website logins, and keep sensitive information out of places it should be. If your management software provides the owner portal, we coordinate with that vendor on access and settings.

What we do not do is give legal advice. We do not decide what your association must keep, post, or redact, or for how long. Your association's attorney and manager should make those calls, and we will set up the technology to match.

If owner personal information is exposed, Florida law adds a 30-day notice requirement for many breaches of personal information. Our article on

Florida data breach law for small businesses

explains what that means.

Hours, onsite visits, and local support

Our Stuart office at 900 SE Ocean Blvd, Suite 130D, is open Monday to Friday, 8 AM to 5 PM Eastern, and our help desk is staffed during those hours on every plan. Most issues are solved remotely. When a visit is the right call, our technicians come to you anywhere across the Treasure Coast and northern Palm Beach County, whether that is a management office or a clubhouse. On Atlas, Hyperion, and Helios, onsite visits are scheduled as needed and billed as written in your agreement. Cronus adds priority onsite response and 24/7 help desk coverage under the plan agreement.

Management companies and larger associations usually fit Helios or Cronus, because those plans include email encryption, phishing training, compliance readiness support and reporting, and quarterly reviews. Hyperion and above include vendor management, which is where our software vendor liaison work lives. Smaller self-managed associations may start with fewer devices on Hyperion. Titan provides technical safeguards and readiness support, not legal advice or certification. Your association, its manager, and its attorney should confirm how Florida law applies to you.

FAQ

HOA and property management IT questions, answered

Do you support AppFolio, Buildium, Vantaca, or CINC?+

We work with associations and managers that use these and other common management systems. We manage the computers, network, accounts, backups, and security around them, and we act as liaison to the vendor when support, installs, updates, or issues need their help. We are not a reseller or partner of these vendors and do not have a direct support line; we work through their standard support channels on your behalf.

Our board members use personal email. Is that a problem?+

It can be. Personal accounts make it harder to protect association information and to hand records over when the board changes. We can set up association email accounts with MFA that stay with the community.

Can you tell us which records we must post online?+

No. That is a legal question for your association's attorney. Once you know what must be posted and protected, we help set up the website or portal access, storage, and backups to match.

How do you help prevent fake vendor invoices?+

We combine email protection, MFA, monitoring, and training with a simple written rule: confirm payment changes by phone at a known number and require a second approval.

Can you work with our gate and camera vendors?+

Yes. We install and support security cameras, and we coordinate with your access control or gate provider when their equipment uses your network.

Can you help with our cyber insurance questionnaire?+

Yes. We go through the questions with you, confirm which controls are actually in place, close the gaps that matter, and keep documentation ready for renewal.
